Set up your documents and edit your rental terms and conditions.

If you want to create documents to send to your clients and edit your general terms and conditions, this is the place.

Creating a Document Template

In Lokki, you can create documents to send to your clients.

The rental contract, invoice, and quote already exist, but you can create additional ones.

It’s simple:

  1. Go to your ⚙️ Settings and then Admin.

  2. In the categories displayed on the left, click on Documents and then go to the Document models tab.

  3. Click on "Template +", enter the document name, and check the sections you want to include in your document.

There are 9 distinct settings that may or may not appear in the document you create:

  • Signature block: Allows the display of two boxes for both your client’s signature and your own.

  • Online store product names: Displays the online store names of products instead of internal names.

  • Add a comment when creating documents: Displays a pre-written comment on the left side of the document.

  • Show serial numbers on the document: Displays the product’s serial number.

  • Sort products by type.

  • Sort products alphabetically.

  • Show product images on the document: Displays the images from your catalog.

  • Product description: Displays the description of the product(s) recorded in your catalog.

  • Add your terms and conditions to each document: Displays your rental terms and conditions in the document.


You can also customize additional fields:

  • Legal notices: Add specific information (e.g., bank details).

  • Content options: Hide the date, prices, or time on the document.

⚠️Do not confuse "Legal Notices" with "Rental Terms and Conditions."
Legal notices are optional but useful for strengthening your contract with clients.

Additionally, you can add custom fields at the bottom of your document.


Creating a Inspection Report Template

In Lokki, you can also create property inspection report templates to check your equipment with your client at pickup and return.

To create an inspection report template:

  1. Go to your Settings > Admin > Documents > Inspection modèls.

  2. Click Inspection template.

To build your template, create questions that must be answered at pickup or return. You can choose from different response types:

  • Open field: Allows written comments.

  • Unique choice: Requires selecting one option.

  • Multiple choice: Allows selecting multiple options.

This is the setup phase, where you define what will be included in the inspection report.
During the operational phase, when filling out the report, you can answer the questions and add photos!

💡 You can create different inspection reports for different product categories.

For example, if you rent out bicycles and tractors, you can create separate reports for each 🚜.


Choosing Your Cancellation Policy

In Lokki, you can define your cancellation policy, which determines the refund amount in case of cancellations.

To set up your cancellation policy:

  1. Go to your Settings > Admin > Documents > Cancellation Policy.

  2. Choose from four options:

  • Flexible: Free cancellation more than 2 days before the rental date.

  • Moderate: Free cancellation more than 4 days before.

  • Strict: Free cancellation more than 15 days before.

  • Custom: Fully adaptable to your preferences.

⚠️ Once created, copy and paste your cancellation policy into your rental terms and conditions so clients are informed before signing the contract.

These policies will appear on your online store and in rental contracts generated by Lokki.



💡 You can also enable automatic refunds for online payments. Lokki will calculate the refund amount based on the selected policy.


Editing Your Rental Terms and Conditions

Lokki allows you to edit your rental terms and conditions (RTC). These will appear on your online store and in rental contracts.

⚠️ Setting up your RTC is crucial as they form the contract. When a client signs online, they are agreeing to these terms.

Make sure they accurately reflect your business policies.


To configure your rental terms and conditions:

  1. Go to your Settings > Admin > Documents > Rental Terms and Conditions.

  2. Fill in your conditions as you see fit. This is a text field where you can write, edit, copy, and paste.

💡 If you don’t have your own RTC yet, Lokki provides a template, but it must be reviewed and customized to fit your needs.


And that’s it! Your documents and rental terms are now ready to use.
