Summary
You can edit or modify these emails from your ⚙️ Settings and then Admin. In the left column, you will find the Mails tab.
You can pre-configure the content of default emails. These will allow you to quickly contact your clients, reassure them after their online payment, and have a precise follow-up of their reservation process.
Sending Emails
All emails sent from Lokki will come from a generic address: [email protected].
However, when your client replies to an email sent from this generic address, it will automatically be redirected to the email address you provided in Settings > Admin > Mails > Email Address.
You will also need to provide your company name.
💡 This email address will appear on all documents you generate (rental contract, quote, invoice) so that your client can contact you if needed.
Edit and Modify Email Templates
In this section, you can set up various types of emails related to the rental process, such as confirmation or cancellation emails.
Each email has its own features, but the structure remains the same.
You can:
Automatically generate and configure the sending of new documents, whether it's for requesting an online signature or simply sending the document in PDF format to your client.
Enable the generation of a payment link for remote payment in full or for a deposit.
Enable the generation of a bank fingerprint link for authorizing full or partial bank authorization.
Personalize the message sent with the email.
There are already several templates you can modify by clicking on Edit next to the relevant email.
You can also add new templates at the bottom by clicking on the button in the bottom right:

Confirmation Email
This is used in two main cases:To send the contract for signing and the payment/deposit links when making an internal reservation and you want your client to complete these actions by email.
To confirm to your client that everything is set when you accept an incoming reservation request on the online store. In this case, if payment/deposit has already been made during the booking, the payment/deposit links are not resent.
💡 If automatic reservation acceptance is enabled on your account, the confirmation email can be automated and will be sent as soon as payment and bank fingerprint authorization are completed.

Cancellation Email
This email can be sent in case of cancellation, either from you or your client.
No payment or deposit will be requested in this email, as it is related to a cancellation.
Quote Email
You can send this email if a client requests a quote by phone or email, and you want to resend the document.
No payment or deposit will be requested, as it is simply a quote. You can send the quote in PDF format to your client via this email.
D-1 Email (before start date)
This reminder email can be sent the day before the reservation automatically.
To automate it, go to the Automatic Mails tab, right below the email templates.
If the deposit wasn’t taken at the time of the reservation (due to the 7-day delay, for example), this is the time to include it in this automatic email by checking the box below:D-1 Email (before end date)
This email can also be automated and sent the day before the reservation ends, reminding your client to return the equipment.
Simply enable it in the Automatic Mails tab.Thank You/Google Reviews Email
This email is sent to thank your client at the end of the reservation. You can choose whether to send it at the time of equipment return.
If you choose to send it, you can add a "Your feedback matters" button that redirects to your Google Business page for the client to leave a review.
To add this link, go to Settings > Marketing > Google Reviews.

💡 Lokki allows you to enable or disable the automatic sending of this email. If you do not check the automatic sending box, you can select the clients to whom you want to send it.
Billing Email
This email is used to send an invoice to a client if they request it.Condition Report Email
This email can be used to send either the departure or return condition report to a client if they request it.
